The amount of the pre-authorisation taken on pick-up of the rental vehicle is calculated as follows:
 
The vehicle rental price* + €200** MINUS any sum you have already paid when making a “Pay Now” booking. 
 
* The "vehicle rental price" includes the vehicle rental cost and all optional extras you’ve requested, calculated at the start of the rental based on the intended length of the rental. For the avoidance of any doubt, any “Pay at Location” amount you owe in relation to the vehicle rental (including any optional extras) will be included as part of the pre-authorisation and will be charged to you at the end of the rental (using the card provided for the purposes of the pre-authorisation, unless agreed otherwise).
 
** If you buy our “Fuel Up Front” product, we will reduce the €200 by the amount we charge you for the “Fuel Up Front” product
 
The €200 is included as part of the pre-authorisation in case we have to charge you at the end of the rental for any of the following: 
 
i.    costs to refuel the vehicle (where relevant); 
ii.    additional rental charges in circumstances where you fail to return the vehicle or any optional extras at the end of the agreed rental period [or to the agreed return location]; 
iii.    any additional charges or fines you incur relating to your use of the vehicle (which we have been notified of prior to you returning the vehicle, which will include, for example, charges relating to traffic violations); and/or 
iv.    costs incurred as a result of exceeding any relevant mileage restrictions. 

Where the pre-authorisation we take does not cover the charges you incur, we will request you make a further payment for the additional amounts owed.

** If you buy our “Fuel Up Front” product, we will reduce the £300 by the amount we charge you for the “Fuel Up Front” product
 
The £300 is included as part of the pre-authorisation in case we have to charge you at the end of the rental for any of the following: 
 
i.    costs to refuel the vehicle (where relevant); 
ii.    additional rental charges in circumstances where you fail to return the vehicle or any optional extras at the end of the agreed rental period [or to the agreed return location]; 
iii.    any additional charges or fines you incur relating to your use of the vehicle (which we have been notified of prior to you returning the vehicle, which will include, for example, charges relating to traffic violations); and/or 
iv.    costs incurred as a result of exceeding any relevant mileage restrictions. 

Where the pre-authorisation we take does not cover the charges you incur, we will request you make a further payment for the additional amounts owed.

When you complete your rental and return the vehicle, we will charge your card and the pre-authorisation hold will be released by your card issuer. Depending on your card issuer, it can take up to 28 days before this is reflected in your account balance. As the pre-authorisation hold is not a charge, the release of funds may not appear on your card statement. Please note – even though the hold is not an actual charge, it still temporarily reduces the available balance on your payment card until its release.

Pets are allowed in our vehicles with prior agreement from the store you intend to hire from. However, if a vehicle is returned with a messy interior beyond normal levels of wear and tear, it will need valeting so a cleaning charge will be added. This charge varies by location. Your hire station will give you the exact figure or call our reservations team for more information.

Yes, of course. In countries that offer this service, we are happy to adapt any car that allows us to fit hand controls. This is generally an automatic vehicle. Simply call our reservations team and we will be happy to help, providing you give us at least 48 hours' notice. You are prohibited from hiring a car in the UK if you have any unspent driving convictions for the following infractions

  • Careless, reckless or dangerous driving
  • Driving or attempting to drive whilst under the influence of drink or drugs
  • Using a vehicle uninsured against third party risks

  • Have been disqualified (or anything similar) in the last 10 years
  • If you have convictions for offences not listed above which total more than 6 points on your licence, your rental will be refused

If you would like to extend your current hire car, we'll do our best to help. Please contact the rental station in the country where you rented using the information located on your rental agreement or look up their contact details here. For UK rentals only, you can also email the UK team via Avisbudget.Ukoperations@abg.com quoting your rental agreement number or the registration number of the vehicle. Please do not use this email address for any rentals which have taken place outside the UK as the team are not able to support with the extension of non UK rentals. Please note – extra days will be charged at 'pay at location' prices and your pre-authorisation will be updated to include any anticipated additional costs. We will try to help you extend your rental over the phone, however sometimes you may be required to visit one of our locations.

We recommend returning your car to the same pick-up location because dropping it somewhere else will cost more. However, we want you to enjoy every mile of your journey so we always try to be as flexible as we can if you wish to return it to another location in the same country (one way rentals are not permitted to other countries). Any extra cost will be included in your booking fee so you know upfront, however, any changes to your original booking could result in additional costs.

However, if your flight number is present in your booking, we'll be aware of any delay to your flight and will endeavour to keep the vehicle for you. Whether you're hiring a car or van, you just need a clean driving licence that covers the vehicle you're hiring. Don't worry if you have points on your driving licence. You can still hire a car in the UK if you have six or less points. You must have held your driving licence for at least three years (or at least one year if you are hiring in the UK) and it must be from the country you live in. Please remember to bring your physical driving licence with you when you collect your vehicle (we don't access electronic licenses). If you're driving abroad, you and your additional driver will also need to bring your International Driving Permits. But in some countries, such as China, you can only drive if you have a Chinese driving licence.

We understand plans can change or you might change your mind. Whether you want to upgrade your vehicle or add extra comforts, it's effortless updating your booking.

Simply go manage your booking, or contact us. You won't be charged for any updates, but if you upgrade with higher value services you will pay the difference. We will inform you of any change in the price before making the change. If you downgrade, we unfortunately can't repay the difference so please choose carefully. The difference can however be used at the counter to reduce costs of additional services and products.

The Premium Location Fee, which is included in your booking quote, helps to cover the extra operating costs incurred at premium locations such as airports, train stations and city centres. While the Premium Location Fee, also known as the City Supplement or Airport Surcharge, is included in your reservation quote, it is also applied as a percentage to any additional counter products selected at the rental location. For clarity, this is itemised on the rental agreement and invoice. Don't worry, this is not a duplicate charge and the itemised line may include the quoted portion from booking as well as any portion for additional selected items.

Yes, we do have vehicles with roof/ski racks available, however unfortunately not all of our vehicles at every location. This service is available at certain rental locations and may depend on the vehicle category selected.

Our policy usually dictates that Avis and Budget will supply customers with a full tank of fuel at the beginning of their rental. Customers are also expected to return the vehicle with a full tank (or at the same level as the vehicle was picked up.

Yes, if the vehicle has been involved in an accident or has sustained damage you must report the accident to the police immediately and to us within 48 hours, even if no third party was involved.

As of the 1 April 2022 our Heathrow Terminal 5 office can be found at our brand-new location at the Holiday Inn London, Bath Road, UB7 0DQ. 

 

When you arrive at Heathrow Airport Terminal 5, please proceed to bus stop 25 (located on the arrivals level of Terminal 5) and take a short, 6-8 minute shuttle journey on our free 24 hour shuttle service.

 

When returning your vehicle please return to our new office. You will then take the short shuttle journey to Terminal 5 where you will be dropped off immediately outside of the arrivals level of Heathrow Terminal 5.

You just need to bring your:

  • Driving licence*
  • Credit card (if it’s a high value vehicle two payment cards must be provided, one of which needs to be a credit card)
  • Proof of any discount (such as a frequent flyer)
  • Photo ID for international rentals (such as a passport or driving licence)

*If you hold a UK driving licence and are renting a car or van in the UK, you must bring a DVLA licence code with you when collecting your vehicle. Codes can be requested at this link (you will be asked to submit your driving licence number, National Insurance number and home postcode), or by calling the DVLA on 0300 083 0013 (Monday to Friday 8am – 7pm, Saturday 8am – 2pm). The code (which will be valid for a maximum period of 21 days from the point it is generated) must be presented to the store and still be valid when picking up any vehicle from us.

You may also need to bring proof of where you live, which could include a recent utility bill or bank statement.  Your driving licence will not be accepted as proof of address.  For more information on the rental requirements where you wish to rent, please review our location specific terms and conditions.

Lastly, if you booked online or over the phone, don't forget to bring a hard or digital copy of your email confirmation showing your unique booking reference.

Remember, the name on the card must match the driving licence of the main driver. Someone else can't pay on your behalf. And don't forget to bring your payment card when you collect your rental.

We understand you might get delayed, so we try to be flexible. If you’re running late or need to extend your car rental, please make sure you contact us as soon as possible. Should you return the vehicle late – without notifying us or extending your hire – you may be subject to a late return fee. If you fail to extend the rental and you are more than 29 minutes late returning the vehicle, your rental will be extended and you will be charged an extra day’s rental at current pay at location prices plus a late return processing fee for each day or part of a day until the vehicle is returned.

If you overrun past your agreed return date and time, you will incur a late return fee. If you still haven’t returned the vehicle 24 hours later, then another late return fee will be applied. A late return fee will continue to be added every 24 hour period thereafter, until you return the vehicle to the rental station.

Depending on the country of rental, the daily late return fee will be (inclusive of VAT): £15.00/CHF 20.00/150.00 (DKR, NKR or SKR)/ Between €15 and €18.60 (country dependent) or the equivalent amount in local currency.

We don't accept cards with Visa Electron, American Express Travellers Cheque cards and Pre-Paid cards – even if they carry the American Express, Visa or MasterCard logo. Germany issued Maestro cards are only accepted in Germany. Two payment cards may be required at the counter for higher-value vehicles; if you've booked online, or over the phone, this will be highlighted on your booking confirmation.

We consider your rental a long-term hire if the rental period is at least 28 days.

In case you would like to extend further, we need to open a new rental period with a new rental agreement number.

Our Rental Operations Team will contact you via SMS before the original check in date to ask how long you wish to extend the rental. In the SMS you can find a secure website link where you can add the return date and the current total mileage reading of the hire car in order to extend the rental. (If you already have a new reservation number for the next period, you can add this information as well on the site).

Our Team will process the extension as soon as possible, however for technical reasons, only after the due date of the rental.

If your current hire car reaches the end of its service life at Budget, the car needs to be return to the manufacturer. You only need to attend a rental location and we will provide you another vehicle within the same category you currently have.
Our Rental Operations Team will send you an SMS with a secure website link where you can choose a convenient date/time and Budget location for the vehicle exchange.

Our team will then review your requested date/time and fleet availability for that location and in case of any changes will contact you.

We know that our customers hire vehicles for many different reasons, and have many different refueling needs. For your convenience, we offer 4 different refueling options:

– Bring Back Full If you bring the vehicle back full, or at the same level as the vehicle was picked up at, there won't be any charge. If there happens to be any missing fuel at the start, and it isn't the same as your rental agreement, please let one of our staff know or take a picture if you are in a hurry.

– Fuel Up Front This option allows you to purchase a full tank of fuel at a lower price per litre than our Pay on Return rates. You pay one flat fee for any amount of fuel, so try to return it as close to empty as you can to get the best value. If the vehicle is returned full, we do not charge you for Fuel Up Front.

– EZ Fuel If you drive for 75 miles (120 km) or less you can pre-pay a flat fee and we will take care of refuelling. If you choose to refuel yourself, please keep the receipt and present it when you return the vehicle.

– Pay On Return If you don’t have the time to refuel and haven’t taken Fuel Up Front, we can do it for you. Please keep in mind that this will incur a small fee. Want some more information?

Yes, of course. We understand you want to share the joy with others so we make it easy for you to add another driver. Your additional driver will simply follow the same hire rules as you. The only thing you need to do differently is pay to add them, so they're covered under your hire agreement. Remember, we need to see all drivers' licences when you collect your hire vehicle. Please note that for additional drivers under the age of 25, a young driver's surcharge will apply. The amount you'll pay will be in your online quote. In some countries, drivers who share a surname don't have to pay more. The amount varies by country and will be clear when you book your hire vehicle online.

Windscreen Protection reduces your windscreen excess to zero which means if there's new, non-negligent damage to the windscreen of the vehicle, you will pay a significantly reduced cost, if any cost at all. We understand that you may need to amend or cancel your booking for many different reasons. To make any changes or to cancel your existing booking, please visit our website here.  If you have booked through a third party, such as a travel agent or broker, please contact the booking source directly for assistance.

It is important that you have read and understood our cancellation policy which is included in our booking terms and conditions.


We understand this is a common concern. When you collect your hire car, we will check it and mark any existing damage on your  rental agreement or vehicle condition report. You then sign this to confirm you are satisfied. Rest assured, we will never charge you for any damage that already existed. You will not be charged for any small scuffs and dents you pick up during your journey, as we understand this is normal wear and tear for any vehicle. These are:

  • Panel – abrasions or surface scratches less than 25mm (1inch)
  • Panel – dents less than 25mm (1inch)
  • Panel – paint stone chips (no dent) less than 3mm (0.12inch)
  • Glass – chips less than 3mm (0.12inch) Wheels – scratches less than 25mm (1inch)
  • Interior – seat tears/burns less than 3mm, carpet tears/burns less than 10mm (0.39inch)

If further damage was caused to the hire car during your rental, you will be charged in line with industry standards using estimating tools such as Audatex. In the case of any damage, we will charge the total repair costs up to the excess amount, which was agreed at the time of your rental contract unless there was a breach of our terms and conditions.

If you cannot find your rental car, which can happen especially at major train stations and airports, please ask for assistance from our rental agency staff. You can reach them personally at the counter on site or by phone using the number provided on your rental agreement.

If you booked using your payment card, you will receive an invoice which is simply for your records. At the bottom of the invoice, it should say: No payment necessary. The amount due will be charged to your credit card.

You can pay for Fuel Up Front when you collect your hire vehicle. This simply means that you pay for a full tank of fuel upfront, saving you the hassle and time of refuelling before you return. This not only saves time but also money, because we offer a discounted rate compared to our fuel on return rates. If you choose Fuel Up Front but bring your hire vehicle back with a full tank, don’t worry, we won’t charge you for Fuel Up Front. But if you bring it back partly full, unfortunately we can’t provide a refund and you will be charged the full amount as listed on your rental agreement, so try to return the vehicle as close to empty as possible.

Yes, if you have Personal Accident Insurance. It also covers you and your passengers if you’re injured in an accident, plus any damage to your personal belongings. If you drive your hire vehicle through Central London between 07:00 and 22:00, any day of the week, you pay a fixed fee each time you pass through a Congestion Charge zone. When you hire a car within the Congestion Charge zone in London, we can pay on your behalf for the first day of your hire. Just let us know when you collect your car and we will add it to your rental agreement. AdBlue is a diesel engine additive found in most of our diesel vehicles which helps to reduce NOx emissions.

Each vehicle fitted with AdBlue is also equipped with a warning light, which signals the next exhaustion of the additive. The remaining level will be indicated directly by the vehicle instrumentation. It is important to remember that the exhaustion of AdBlue causes the vehicle to be inoperable. Thus, when the warning light comes on, it is advisable to refuel AdBlue immediately.

Refueling can be done free of charge by going to one of our branches, facilities or affiliated networks or any gas station, before payment. In the latter case, the amount will be refunded and deducted from the amount due for the rental, upon return, upon presentation of an invoice.


We're sorry that you've had to cancel your booking with us. Please first ensure that you have read our Booking Conditions for information on cancellation fees. Once your booking is cancelled, contact us using the icons below to request your refund. Any funds that are to be refunded can take up to 5-7 working days from the date they are processed. If there are any extraordinary circumstances that may affect the above timeframe, our customer care team will let you know. If you have cancelled your booking on the same day you created it, there is nothing to refund as the charges would not have been made until midnight. Any item listed on your statement in this case will be a pre-authorisation hold, not a debit.

When a traffic offence occurs, we are notified by the relevant authorities as the registered owner of the vehicle in order to identify the driver of the vehicle. Whenever possible, liability is transferred to the driver of the vehicle at the time of the offence and the authorities re-issue the Penalty/Parking Charge Notice to the driver. We charge an administration fee to cover our costs involved in this process. Following a liability transfer, the authorities contact the driver directly by post with the re-issued fine. Rest assured, the dates of fine payment are updated so that the driver is not affected by the time taken to transfer liability. In some circumstances, liability cannot be transferred and the fine is paid on your behalf by us. The lowest possible fine amount is paid and is charged directly to the customer. Please note, to dispute an offence, the authorities must be contacted directly. Details of the dispute process and all contact details for the authority will be detailed on the re-issued penalty charge notice that you will receive.

You pay for each day you hire a vehicle, which is based on a 24 hour rental period. If you return your hire vehicle within 24 hours, you'll still be charged for the full day. There's also no penalty for returning your vehicle up to 29 minutes late, but for returns after this time we're afraid you will be charged for another day as well as a late return fee. If you are going to be late or would like to extend your rental period, please call your hire station ahead of time to let us know.

At the start of your rental, we will ask your card issuer to hold a sum of money for us. This is a temporary hold against the funds you have available on that card. We do not charge your card and no money is taken from your account. Your card issuer will usually present this authorisation hold as a pending transaction that reduces the money you have available to spend.

When you complete your rental and return the vehicle, we will charge your card and the pre-authorisation hold will be released by your card issuer. Depending on your card issuer, it can take up to 28 days before this is reflected in your account balance. As the pre-authorisation hold is not a charge, the release of funds may not appear on your card statement. Please note – even though the hold is not an actual charge, it still temporarily reduces the available balance on your payment card until its release.

Once you bring the vehicle back, the reversal process starts automatically and your bank is notified that the funds should be released. The funds should be available within a maximum of 28 days of the date/time that your rental was checked in. Unfortunately, we only have access to trigger the release of funds and have no control regarding the time taken for your bank to return the funds to your account. As this transaction is a hold of funds and the money does not leave your account, the release will not reflect on your account as a credit or refund, but rather the pending transaction will disappear and your available balance will increase. If you have any specific questions regarding a pre-authorisation and your rental is already finished, your bank is the best place to seek more information and assistance.

Smoking is strictly prohibited inside all of our vehicles. If we believe that someone has smoked inside the car during the rental period, an additional charge will be applied to cover our added specialist cleaning costs.

If, on the other hand, at the beginning of your rental you notice a cigarette smell, please let the station know and we will provide you with a new vehicle.

If you are a member of a loyalty program with one of our partners, you can accumulate miles or Frequent Traveller points when you hire from us.

If you cannot find your rental car keys, please first call our agents at the rental agency (listed on your rental documentation) and report the lost keys. Usually, we have a spare key for vehicles in a central storage location, which is then ordered for you by the agency.

Additionally, there may also be times when we need to have the rental car towed by a breakdown service if the keys cannot be secured otherwise.

You will be responsible for any loss or damage to the rental car keys. The amount of these costs depends on the country of rental. Costs resulting from loss of keys, such as towing service and replacement of the keys, must be paid by the customer.

Unfortunately no, the name on the rental agreement, the "named" or "main" driver, must remain as it has been reserved.  Should the main driver be unable to drive the vehicle or pick up the reservation, the rental must be cancelled and re-booked under the new designated name at current pay at location rates.  Please note that for any cancelled reservations there may be cancellation fees as set out in our booking terms and conditions

If the rental has already begun, you may wish to add an additional driver so that another individual can drive the vehicle, however the named driver cannot be changed.

Many city centers in Italy are defined "Restricted Traffic Zones". These areas are not accessible to vehicles on certain days or times as prescribed by the relevant traffic authority. Even when driving a rental car it is necessary to respect these restrictions to avoid incurring an administrative penalty.

Some of our stations are near central areas and "limited traffic areas" and it is therefore necessary to pay careful attention not to enter the ZTL. We do our best to inform you when it is nearby and of the possibility of returning the vehicle avoiding entry into the ZTL.

If you are not sure whether or not the station is close to a ZTL or which route to take to return the vehicle, do not hesitate to ask.

We offer van hire in selected stations in a number of countries. To find out if you can hire a van for your journey, simply tell us where and your options will appear when you start your journey online. We do not allow our UK vans to leave the country. These rentals are for use within the UK only. Please also note that one-way rentals are not available to book online and must be agreed in advance. Please contact our reservations team.

The safety of our customers and staff is of paramount importance to us. If you are due to return your UK hire car but have been told to self-quarantine or have tested positive for COVID-19, please contact our UK Operations Support Team (AvisBudget.UKOperations@abg.com)  as soon as possible. Please ensure that your hire car is parked in a safe and secure location where no fines will be obtained. Please take photos of the fuel and mileage readings and include them with your email to our UK Operations Support Team.  Your rental will remain open until the vehicle is returned back to one of our UK rental stores. Once you have contacted us, the rental will be frozen for the isolation period remaining, we will require a photo of the mileage and fuel level at the time and confirmation that you are required to isolate.  Please note this applies to UK rentals only.  If your rental has taken place outside of the UK please contact the relevant store directly for advice.

When you arrive at Heathrow Airport (see here for Terminal 5) and you have collected your luggage from the luggage reclaim we would ask that you call ahead for a shuttle bus and it will depart from our office to collect you from the terminal you arrived at and take you to our Avis Budget office at the airport. It can take approximately 10 to 15 minutes for the shuttle bus to reach the terminal you arrived at, dependent upon road traffic, hence the request to call in advance due to the current situation and environment.  Our buses do run on a schedule to each terminal 7 days a week between the times of 5:30am to 11:30pm daily, but by calling ahead we will be aware of your arrival. To save even more time, register via WhatsApp and share your DVLA licence code before arriving at our UK rental stations (we only need this for UK residents renting in the UK).

RSN is our Roadside Safety Net product. In addition to the standard breakdown assistance included with your rental, our Roadside Assistance Plus (or Premium Roadside Assistance) service covers any non-mechanical issue you may face. This product removes ancillary costs that may be associated with a vehicle breakdown, such as jump starts or towing fees. When selected, RSN will be included on your signed rental agreement at the beginning of your rental. It will be charged at the end of the rental along with any outstanding rental charges.

We are a member of the British Vehicle Rental & Leasing Association (BVRLA). If you make a complaint and are unhappy with our final response you can refer your dispute to the relevant conciliation service. These organisations independently review disputes with no additional cost to you.
